Vendor needs to provide records digitization service for approximately 27,000 square feet and houses record storage boxes.
- The selected offeror will perform scanning and the indexing of all records submitted by the city for conversion of each into a digital format.
- Offeror will pick up and return all records to the city unless otherwise directed and will upload the scanned or converted files with an Excel file with fully qualified file name to a storage space on the cloud, unless directed otherwise.
- Confidential files should be provided on a USB memory stick or hard drive. The Excel file will include all the necessary indexes required by the city. The storage space on the cloud is provided by the offeror. Offeror will be required to notify the city when new files have been scanned or converted and uploaded completely.
- Methodology used by the offeror will ensure quality of the final product (density, contrast, brightness, lack of skew, resolution, visual quality, etc.). Offeror shall ensure security and privacy: preventing theft, loss or unauthorized copying of records.
- Offeror will take custody of all records from the ARC and take them to their respective offsite facilities. City staff will log all records sent to the offeror for scanning, indexing or conversion and update the list upon return of said records.
- City will perform final quality control on the returned digital images or files. Offeror will re-scan or re-convert at no charge to city any records that the city deems unacceptable.
- Offeror will correct any errors in the indexing noted by city at no charge. Offeror will not delete the digital copies for at least 30 days after the city has been notified by email that the files have been completed and uploaded to the cloud-based storage location.
- The permanent collections consist of:
- 30,099 building and safety hardcopy plans.
- 9,000 microfiche films (4"x6" in size) for zoning, land use and maps dating back to 1951.
